Then someone opens the appointment calendar, sees nothing available for weeks, and the whole plan goes quiet. The refusal everyone fears rarely turns out to be the real obstacle. The appointment is.

So this article is about that one step, honestly explained. No tricks, no secret portal, no contact who can "arrange" something — just how appointment inventory behaves, who controls which part of it, and how to avoid the people who make a living from your panic.

Why slots are scarce, and why it is not a conspiracy

The simplest explanation is the true one. The number of Indians applying for visas has grown far faster than the consular officers, biometric counters and interview rooms available to process them. Passport ownership has climbed, incomes in Surat, Ahmedabad and Vadodara have grown, and international travel has moved from a once-in-a-lifetime event to something families plan every couple of years. Consular capacity, meanwhile, is set by staffing budgets and premises abroad. It grows slowly and in straight lines. Demand grows in curves.

Two other things make the pinch feel worse than the raw numbers suggest. Appointment inventory is generally released in batches rather than trickling out continuously, so the calendar swings between completely empty and briefly open. Who actually decides, and who definitely does not

This confusion causes the most wasted anger. Two different organisations are involved in your application, and travellers routinely address the wrong one. The consulate or embassy makes the decision. Its officers assess your documents, travel history, finances and purpose, and they alone approve or refuse. They also decide how many appointment slots are released, because every appointment eventually becomes a file someone at the mission must review.

The outsourced service provider is the company running the application centre you physically walk into — VFS Global, BLS International, TLScontact or another operator, depending on the country. They collect your file, take biometrics and the fee, courier the passport and answer helpline calls. They do not assess your case, do not decide your outcome, and cannot create slots the mission has not released. We say this gently but firmly: being rude to counter staff achieves nothing, because the person you are angry with has no authority over the thing you are angry about. Courtesy, on the other hand, occasionally earns you useful information.

Which application centre covers a Gujarat applicant

Ahmedabad hosts application centres for a number of countries, a real convenience for anyone in Gujarat. But not for every country, and some applications still mean travelling to Mumbai or Delhi. Which applies to you depends on two things: whether an operator runs a centre for that country in Ahmedabad at all, and the mission's jurisdiction rules — which consulate is officially responsible for residents of Gujarat. Some missions handle all of western India from Mumbai. Others split the country differently.

How slot release behaves, and how to be ready for it

Here is the practical shape of it. Batches of appointments are typically loaded at intervals rather than continuously, often at a fairly consistent time of day, which regular applicants notice over time. Separately, cancellations return individual slots to the pool throughout the day, at no predictable moment. So a slot appears in one of two ways: a batch drop, which is a flood, or a cancellation, which vanishes in minutes.

What works is disciplined, scheduled checking — a few honest attempts a day at sensible times, over a couple of weeks — rather than frantic refreshing for six hours straight. Hammering the site is not more effective; aggressive automated refreshing is precisely what operators build defences against.

The mistake that costs people most is being unprepared when a slot does appear. Have the account created and verified, the online form completed and saved, passport details entered correctly, and your payment method ready and funded before you start hunting. Premium, prime-time and courier add-ons: worth it?

Most application centres offer paid optional services, and there is nothing shady about them. Priority appointments, prime-time slots outside standard hours, courier return of your passport, SMS tracking and form-filling assistance are official products sold by the provider with the mission's knowledge. They are not queue-jumping in the sense that matters: none influences the decision, and none makes an officer look at your file more kindly.

Whether they are worth it depends almost entirely on how tight your departure date is. With three months of runway, most add-ons are money you do not need to spend. Inside a few weeks, a premium appointment or courier return can genuinely be the difference between travelling and not. We will not quote a figure for any of them — charges vary by country, centre and season — so check the current published amounts on the official provider site, and treat anything quoted verbally by a third party as unverified.

The "guaranteed slot" trade, and why we will never send you to it

This is the part we would most like you to remember. There is a well-documented cottage industry in India of agents, WhatsApp groups and bot operators promising "confirmed" or "guaranteed" appointment slots for a fee. State it plainly: no third party can guarantee a consular appointment, and nobody on earth can guarantee a visa outcome. Anyone who says otherwise is either selling you something you could get yourself, or selling you something that does not exist.

What usually happens is one of three things. In the mildest version, you pay someone to watch the same public calendar you could watch, and they book using your own login and your own details — you have paid for patience, at a wild markup. In the worse version, the slot never materialises and the number stops answering. In the worst, you have handed your passport, your personal data and sometimes your account credentials to an unaccountable stranger. Missions and service providers have publicly warned about touts more than once, and there is a further sting: using one can itself cast doubt on an application, because a file that looks brokered rather than genuine invites scrutiny you do not want.

So, the rules we would give our own family. Never share your visa account password with anyone; a legitimate agency does not need it to advise you. Never let anybody hold your passport without a signed, dated receipt from a registered business with a verifiable address and GST details. Be wary of anyone wanting cash with no invoice, or payment to a personal UPI ID rather than a company account. And be suspicious of confidence itself: real professionals talk in probabilities and timelines, never guarantees. Flights before visa, or visa before flights?

The sequencing problem confuses almost everybody. Most consulates want an itinerary — flights and accommodation consistent with the trip you have described. At the same time, no sensible person buys non-refundable international tickets before a visa is granted. Both are true at once, and the resolution is not to fake anything.

The professional approach is a genuine booking you can undo: a held reservation, a fully refundable or flexible fare, or an itinerary issued by a registered travel agent who can hold and cancel it properly. When there is genuinely no slot before your travel date

Sometimes you do everything right and the calendar still says no. There are four honest options, best worked through in order. Consider whether the trip can shift by a few weeks into a quieter window. Consider whether a different destination works this year, since not every country requires an embassy appointment at all and several good ones run e-visa or visa-on-arrival systems for Indian passport holders.

And the fourth, which many agencies will not say out loud: postpone. If the appointment cannot happen in time, moving the trip beats paying a tout, filing a thin rushed application, or booking tickets on hope. If one line survives from all of this, let it be that the appointment is the long pole, not the decision. What to carry on the day

Bring your printed appointment confirmation, your passport along with any older ones you hold, and the checklist documents in the exact order the checklist gives them — staff process hundreds of files, and one in the right order reads as more credible. Carry originals plus a photocopy of each, and bring photographs to the mission's stated specification rather than a generic passport photo.

One local detail worth flagging, especially around wedding season here in Gujarat: biometrics means fingerprints, and dark, fresh mehndi on the fingertips can interfere with a clean scan.
